This notice explains how Veteran Health Network LLC (VHN, we, us, or our) collects, uses and shares consumer health data. Washington's My Health My Data Act, Nevada's consumer health data law and similar state laws give their residents the rights described here. VHN applies this notice to every member and visitor, wherever they live. It adds to our Privacy Policy at myvhn.org/privacy, which describes all the personal information we handle.

Consumer health data means personal information that is linked or reasonably linkable to you and that identifies your past, present or future physical or mental health status. For VHN, that includes your health history, conditions, symptoms, medications, service history related to your health, records we gather for you, and the results of your Clinical Baseline.

1. Consumer health data we collect and why

We collect these categories of consumer health data:

  • Health information you give us during intake, on forms and in calls with our care team, such as your conditions, symptoms, how often they happen, how severe they are and how they affect your daily life.
  • Medical records we gather for you with your written authorization, such as your VA records, service treatment records, community care records, private doctor records and pharmacy records.
  • Clinical information produced during your membership, such as your Clinical Baseline visit notes, lab results, your results and care plan, and the documentation your Clinicians prepare.
  • Information about the care you are seeking, such as the services you ask about or enroll in.

We use consumer health data only to:

  • Respond to your questions and run your intake.
  • Deliver the Clinical Baseline, Care Advocacy, network visits and the delivery of your records.
  • Administer your membership, the Clinical Baseline Guarantee and billing.
  • Keep our services safe and secure, and meet our legal obligations.

We collect and use consumer health data only with your consent or as needed to provide a service you asked for. We do not sell consumer health data. We do not use it to target advertising and we do not use it to market to you. We do not set up geofences around places where people receive health care.

2. Where it comes from

We collect consumer health data from you, from the independent Clinicians who care for you through VHN, and, with your written authorization, from the Department of Veterans Affairs, community care providers, private doctors, pharmacies and other sources you name.

3. Consumer health data we share and with whom

We share consumer health data only with your consent or as needed to provide a service you asked for:

  • Independent licensed Clinicians who evaluate and care for you through VHN: the health information and records needed for your care.
  • Your VA care team, with your consent: your Clinical Baseline.
  • People you choose, such as a VA-accredited representative or a Veterans Service Organization, only at your direction and with your written authorization.
  • Service vendors that process data for us under contract, such as secure record storage (including Hint), scheduling, communications, payment processing, and AI-assisted documentation and operations tools: only the data each needs to do its job for us. They may not use it for their own purposes.
  • Others where the law requires it, such as in response to a subpoena or legal process.

We do not share consumer health data with advertising platforms. Our measurement and advertising tools, described in section 8 of our Privacy Policy, receive page visits and device information and are set up so they do not receive your health information, intake answers, records or tool results. When those tools run, the companies that provide them, such as Meta and Google, may collect information about your online activity over time and across different websites; you can stop this through the "Your Privacy Choices" link at the bottom of every page or a Global Privacy Control signal. VHN has no affiliates that receive consumer health data.

4. Your rights

You have the right to:

  • Confirm whether we collect, share or sell your consumer health data, and get a copy of it.
  • Get a list of the third parties and affiliates with whom we have shared or sold your consumer health data, with a way to contact them.
  • Withdraw your consent to our collection and sharing of your consumer health data.
  • Have your consumer health data deleted. When we delete it, we also tell the vendors and other third parties who received it to delete it. Some records must be kept by law, such as medical records for the period your state requires; we tell you when that applies.
  • Appeal our decision on your request.

We will not treat you differently for using any of these rights.

5. How to use your rights

Email legal@myvhn.org or call (317) 648-9563. We will verify your identity before acting on your request, and we respond within 45 days. If we need more time, we may extend that once by up to 45 more days and will tell you why within the first 45 days. If we deny your request, we will explain why. You may appeal by writing to legal@myvhn.org with "Privacy appeal" in the subject line. We respond to an appeal within 45 days, and if we deny it, we tell you how to contact your state attorney general.

6. Changes to this notice

If we change this notice in a material way, we will post the new version on this page before it takes effect. We will not collect, use or share consumer health data for a new purpose without first getting your consent.
